Who We Are

Ultra Index (ultraindex.run) is a race discovery platform for ultra marathon runners. The site is operated by Richard Sandenskog, based in Sweden.

What Data We Collect

We collect only what is necessary to run the site:

• Newsletter subscribers: Email address, preferred language, and signup source. Stored in our database and used solely for sending the Ultra Index newsletter.
• Race organizer claims: Name, email, and organization name. Used to verify race page ownership claims.
• Analytics (with consent): Standard Google Analytics 4 data (page views, device type, geography). Only collected after you accept the cookie banner.
• Server logs: Standard web server access logs (IP address, user agent, timestamps). Automatically rotated and deleted after 30 days.

Cookies

We use a single first-party cookie:

• ui_cookie_consent — Records whether you accepted or declined analytics cookies. Expires after 1 year.

If you accept analytics cookies, Google Analytics sets its own cookies (e.g. _ga, _ga_*). You can withdraw consent at any time by clearing your browser cookies — the consent banner will reappear.

How We Use Your Data

• Newsletter emails: To send you ultra running news and race updates. You can unsubscribe at any time via the link in each email.
• Claim data: To process and verify race organizer claims. We do not share this data with third parties.
• Analytics data: To understand which content is popular and improve the site. We do not sell or share analytics data.

Third-Party Services

• Google Analytics 4 — Web analytics (consent-gated). Google Privacy Policy
• Resend — Transactional and newsletter email delivery. Resend Privacy Policy
• Hetzner — Server hosting (EU-based, Germany). Hetzner Privacy Policy

Data Storage & Security

All data is stored on servers located in the European Union (Hetzner, Germany). We use HTTPS encryption for all connections. Database files are not publicly accessible.

Your Rights (GDPR)

If you are in the EU/EEA, you have the right to:

• Access the personal data we hold about you
• Request correction or deletion of your data
• Object to or restrict processing
• Data portability
• Withdraw consent at any time

To exercise any of these rights, email privacy@ultraindex.run. We will respond within 30 days.

Data Retention

• Newsletter subscribers: Until you unsubscribe.
• Organizer claims: Indefinitely (needed for ongoing verification).
• Server logs: 30 days.
• Analytics data: Per Google Analytics retention settings (14 months).
